These are systems that allow users to store, archive and retrieve documents. Typical features of a document management system are: (1) Automatic date and time stamp for documents, (2) Search capability, (3) Simple way to retrieve copies of the information / documents / files, (4) Access restrictions and (5) Security. In an organization it is sometimes very difficult to keep track of documents, ensure they are readily accessible to individuals with the correct authorization and even keep track of individuals who view the document. Because of the significant benefits that can be achieved through an effective document management system, many organizations have invested a significant amount of capital. The web has now introduced the new method of delivering such document management services through your browser. Documents can be stored in a secure location, so that browsers cannot index documents which are confidential. Access can be controlled through user names and passwords. A browser can use an SSL certificate to ensure that documents being downloaded cannot be intercepted by others. We have developed a number of custom web-based document management systems for such things as: (1) Employee manuals and policies for a multi-plant, multi-division corporation, (2) Up-load and download of documents & spreadsheets for a referral agency that needed a simple way to distribute the information to other organizations, (3) Up-load and download of very large files using streaming technology - to increase the speed and bypass the default 4MB limitation for HTML file up-loads, (4) Date and time stamp files and send notification that the document has been up-loaded to the the interested parties, (5) Track file up-loads and downloads - including date and time as well as the user ID Additional related terms:
